New Features

Client, Assignment and Worker Portal functionality​

This release introduces the portal functionality and configuration directly into the Client, Assignment, and Worker record screens in PAB 2.0. Users who utilise the Pay and Bill Portals will now be able to view, edit, and create portal configuration data without leaving the record screen.

Please ensure that your portal permissions are correctly configured before using these new features.


Client Record Portal Card

You can now view, edit, and create portal configuration settings directly within the Client record screen in PAB 2.0. A new Portal card has been added to the Client record, giving you quick access to all portal-related settings for a client without needing to navigate elsewhere.

The Portal card is added to the bottom of the existing cards, and you can navigate easily to the card without scrolling using the card navigation menu.

Top Tip! Don’t forget that you can click on the record header to auto-jump back to the top of the record

Within the Portal card, you will find the following fields:

  • Online Authorisation - the master switch that enables portal timesheet functionality for the client. Switching this on activates the remaining portal fields

  • Online Timesheet Type - specifies how timesheets are presented to workers on the portal, for example, by hours, by rates, or as a weekly format

  • Online Escalation Type - controls how overdue or unsigned timesheets are escalated within the portal. The options available depend on the Online Timesheet Type selected

  • Timesheet Workflow - assigns a timesheet approval workflow to the client for portal timesheet processing

  • Allow Online Expenses - enables expense submission through the portal for this client

  • Allow Online Expenses - Allow Authorisation - when online expenses are enabled, this controls whether expense claims submitted through the portal require authorisation


Viewing portal authorisers for a client

When Online Authorisation is switched on, an Authorisers grid is displayed within the Portal card. This gives you a read-only view of all portal users set up for the client, so you can see at a glance who has access to the portal for that client.

Each authoriser row can be expanded using the chevron to reveal the Authoriser Groups that the user belongs to, along with their group permissions — including whether they are allowed to authorise, enter, approve, or amend timesheets.

If no authorisers exist for the client, or no groups exist for a particular authoriser, a "No data found" message will be displayed.

To select new options for the Online Timesheet Type, Online Escalation Type, and Timesheet Workflow, you will need to edit the client and select from the pre-configured options specific to your portal configuration. Please remember that Online Escalation Types depend on the Online Timesheet Type chosen.

When viewing the Authorisers for a Client, you can click on the row arrow to expand and view the Authoriser Groups that they belong to.


Assignment Record Header Online indicator

When viewing an assignment configured for portal use, an Online indicator now appears in the Assignment header bar, alongside the Status and Start Date. This gives you an immediate visual cue that the assignment is set up for online portal timesheets, without needing to navigate to the Portal card to check.

The Online indicator appears automatically when an Online Timesheet Type is set for the assignment. It is a read-only display and cannot be interacted with directly.

Assignment Record Portal Card

The new Portal card has been added as the last item in the Assignment record card navigation menu, after Absences.

Portal settings at the assignment level allow you to override or supplement the client-level portal configuration for specific assignments.

Configuring portal settings for an assignment

Within the Portal card you will find the following fields:

  • Online Timesheet Type - overrides the client-level timesheet type for this specific assignment

  • Online Escalation Type - overrides the client-level escalation type for this assignment. The available options depend on the Online Timesheet Type selected. A blank option is available if you wish to fall back to the client-level value

  • TS Authoriser Group - links the assignment to a group of authorisers for portal timesheet approval. This field is required when the Online Escalation Type is set to a group authorisation type

  • TS Authoriser - assigns a specific individual authoriser for portal timesheet approval on this assignment

  • TS Workflow - assigns a timesheet approval workflow at the assignment level

  • Allow Online Expenses - enables or disables expense submission through the portal for this assignment

  • Online Expenses - Print Only - When online expenses are enabled, this restricts expense submissions to print-only mode. This field is only active when Allow Online Expenses is switched on

All fields are read-only in view mode. Switch to edit mode to make changes and save.

Viewing group authorisers for an assignment

When a TS Authoriser Group is selected, a Group Authorisers grid is displayed within the Portal card. This gives you a read-only flat list of the members within the selected authoriser group, including their name, email address, and their individual permissions within the group — such as whether they are allowed to authorise, enter, approve, or amend timesheets.

If no TS Authoriser Group is selected, or no members exist for the selected group, a "No data found" message will be displayed.

Worker Record Portal Card

A new Portal card has been added as the last item in the Worker record card navigation menu, after Equal Opportunities. This may differ according to the worker's employment type you are viewing.

Enabling portal access for a worker

Within the Portal card, you will find the following fields:

  • Online Timesheets? - The master switch that enables the worker for portal timesheet submission. When switched on, the worker is eligible to submit timesheets via the portal.

  • STi User Ref - the worker's portal login reference. This automatically defaults to the worker's email address when an email address is entered on the Contact Details card.

  • STi Template - the portal menu template to be assigned to the worker. This field becomes active and mandatory when Online Timesheets? is switched on.

📌 Note: if Online Timesheets? is switched on, the worker's Email Address on the Contact Details card must be populated before the record can be saved. If the email address is blank, a validation message will be displayed on the Email Address field, prompting you to add one before proceeding.

Pay and Bill V2 Fixes

As part of our commitment to keeping Pay and Bill 2.0 secure and reliable, we continuously review and update the third-party components used within the application. This release includes a number of security patches that address known vulnerabilities in underlying software libraries. These updates happen behind the scenes and do not affect how you use the application, but they ensure that your data and systems remain protected to the highest standards. We will continue to apply these updates as part of every release to maintain the security and integrity of the platform.

2310921 – Assignments – Validation error message language issue

Location: Pay & Bill : Data Entry ; Assignments

We have fixed an issue where certain validation error messages on the Assignments screen displayed incorrect or unclear language, making it difficult for users to understand what action was required to correct their entry.

2371467 – Timesheet – Assignment lookup returns no records

Location: Pay & Bill ; Data Entry ; Timesheets

We have resolved an issue where searching for an Assignment within the Timesheet screen, using either the simple lookup or advanced search, returned no results even when matching records existed. Users can now search for and select Assignments as expected.

2372444 – Worker – Country saved incorrectly

Location: Pay & Bill ; Data Entry ; Worker

We have fixed an issue where the Country field on a Worker record was not being saved correctly, which could result in incorrect country information being displayed or used for that worker.

2389681 – Timesheet – Status field not populated when Assignment selected

Location: Pay & Bill ; Data Entry ; Timesheets

We have resolved an issue where the Status field on a Timesheet did not populate automatically after selecting an Assignment. The Status field now updates correctly as soon as an Assignment is chosen.

2390856 – Timesheet Search – Action menu shows incorrect actions when row not in view

Location: Pay & Bill ; Data Entry ; Timesheet Search

We have fixed an issue on Timesheet Search where, if a selected row had scrolled out of view, the bulk Actions menu could display incorrect or unavailable actions. The Actions menu now correctly reflects the state of the selected row regardless of scroll position.

2396321 – Timesheet Search – Incorrect tooltip on “Hold From Invoicing” when linked to invoice

Location: Pay & Bill ; Data Entry ; Timesheet Search

We have fixed an issue where the tooltip for the “Hold From Invoicing” action showed incorrect information when the selection included timesheets already linked to an invoice. The tooltip now displays accurate guidance in this scenario.

2403656 – Timesheet Search – Wrong timesheet selected from grid view

Location: Pay & Bill ; Data Entry ; Timesheet Search

We have fixed an issue where selecting a row in the Timesheet Search grid could result in a different timesheet being selected than the one clicked. Row selection now correctly matches the timesheet clicked by the user.
